Sub-series consists of entry books recording the text of despatches (both numbered and unnumbered or confidential) from the British Minister at Washington to the Governor-in-Chief at Quebec, and to the Colonial Secretary or Foreign Secretary as forwarded through Quebec. Despatches from the Commander of the Forces and from governors of other colonies of British North America bearing on international relations are also recorded in these volumes. The texts of enclosures are usually included. The letters and enclosures are entered in chronological order and the volumes are preceded by contents lists which note the date of the despatch, the subject and the page references.

The term "letter book" has been used generally to describe volumes in which the text of documents was recorded. "Entry book" is the more correct generic term for such volumes, when all manner of documents are recorded therein; "letter book" should be reserved for volumes in which only correspondence was recorded.
The index to an entry book can facilitate access to records outside the series in which it is located and to which it immediately relates. Incoming correspondence can be traced and identified through the dates and other clues provided in the replies.
